Sales Order Specialist

Poseidon Systems has an immediate need for an order processing specialist to coordinate sales order process flow. This position will be based in our Rochester, NY location. This is a great opportunity to join a company experiencing rapid growth.


The order processing specialist will be an integral member of Poseidon’s team. Responsibilities include but are not limited to:

Sales order processing

  • Receive and enter sales orders
  • Review sales order terms and conditions
  • Complete new supplier forms
  • Generate sales order acknowledgements
  • Generate manufacturing instructions
  • Generate packing slips/commercial invoices
  • Send shipment notifications to customers

Accounts receivable

  • Process and submit customer invoices
  • Process customer payments and order closeout
  • Aged receivables review and notifications


  • Submit purchase orders for inventory items
  • Obtain quotes as required


  • Support Production Manager (e.g. pulling reports,
  • Support ISO audit preparation and metrics collection
  • Provide backup support for administration


  • AS degree in Business and/or Accounting or equivalent experience. 2+ years of order processing experience.
  • Prior experience with Sage 50 (Peachtree) or similar accounting software
  • Strong proficiency in Microsoft Excel, Word, and Outlook
  • Highly motivated and organized
  • Maintains accurate and complete records (process oriented)
  • Positive and friendly personality
  • Strong communications and interpersonal skills
